Payment & Cancellation Policy

At NC Safaris, we aim to make your Tanzania travel experience clear and straightforward from the moment you book. The following terms explain our payment requirements, cancellation charges, refunds, and changes to confirmed bookings.

1. Booking & Deposit

A booking is confirmed once NC Safaris receives a 50% deposit of the total trip cost and provides written confirmation of the booking.

The deposit allows us to secure the accommodation, transportation, park fees, permits, activities, and other services included in your itinerary.

Until the required deposit has been received, all arrangements remain subject to availability.

2. Final Payment

The remaining 50% balance is due 30 days before the safari departure date.

For bookings made within 30 days of departure, full payment is required at the time of booking.

If the final balance is not received by the agreed due date, NC Safaris reserves the right to cancel the booking and apply the applicable cancellation terms.

3. Payment Methods

Payment instructions will be provided with your quotation, invoice, or booking confirmation.

Any bank charges, transaction fees, or currency conversion costs associated with a payment may be payable by the traveller.

Travellers should confirm payment details directly with NC Safaris before making any transfer or payment.

4. Cancellation by the Traveller

If you need to cancel your safari, cancellation must be submitted to NC Safaris in writing. The cancellation will take effect from the date the written notice is received.

The following cancellation charges apply:

5. Refunds

Where a refund is applicable, the refundable amount will be calculated after deducting the relevant cancellation charges and any non-refundable costs already committed to third-party suppliers.

Refundable amounts will be processed after NC Safaris has received any applicable refunds from suppliers.

Some services may have separate cancellation conditions and may be partially or fully non-refundable once confirmed.

6. Non-Refundable Services

Certain services may become non-refundable or subject to separate cancellation charges after they have been booked or paid for.

These may include:

  • Accommodation deposits

  • Domestic or international flights

  • Park and conservation fees

  • Kilimanjaro permits

  • Balloon safaris

  • Private charters

  • Special activities

  • Other prepaid third-party services

Where special supplier conditions apply, these will be communicated as part of your booking arrangements.

7. Changes to Your Booking

If your travel plans change, please contact NC Safaris as early as possible.

We will make reasonable efforts to accommodate changes to your travel dates, itinerary, accommodation, or other arrangements, subject to availability and any additional costs imposed by suppliers.

A request to change your travel dates is not automatically treated as a cancellation. Where possible, NC Safaris may assist with rescheduling your trip.

8. Last-Minute Bookings

Bookings made within 30 days of departure require full payment at the time of confirmation.

Last-minute bookings are subject to availability and may be subject to additional supplier-specific payment or cancellation conditions.

9. Cancellation or Changes by NC Safaris

If NC Safaris needs to cancel or significantly change a confirmed trip due to circumstances within our control, we will communicate with the traveller as soon as reasonably possible and work toward an appropriate alternative arrangement.

Where a cancellation or significant change results from circumstances beyond our reasonable control, the Force Majeure provisions below will apply.

10. Force Majeure

NC Safaris is not responsible for losses or disruptions resulting from circumstances beyond our reasonable control. These may include natural disasters, severe weather, government restrictions, major transportation disruptions, civil unrest, pandemics, or other extraordinary events.

Where such circumstances affect a confirmed trip, NC Safaris will work with the traveller to explore reasonable alternatives, including postponement, itinerary changes, or applicable refunds after unrecoverable supplier costs have been considered.

11. Travel Insurance

We strongly recommend that all travellers obtain comprehensive travel insurance before departure.

Travel insurance should ideally cover trip cancellation and interruption, medical emergencies, evacuation, baggage loss or delay, and other relevant travel risks.

12. Changes in Group Size

If one or more travellers cancel or the number of people travelling changes, the cost per person may be recalculated.

This is because accommodation, transportation, and other services may have been priced according to the original number of travellers.

Any applicable cancellation charges or additional costs will be communicated before revised arrangements are confirmed.

13. Acceptance of Terms

By confirming a booking with NC Safaris, the traveller acknowledges and accepts these Payment & Cancellation Terms.

Where specific supplier conditions apply, the terms stated in the traveller’s quotation, invoice, or booking confirmation may take precedence for those particular services.
